Cancellation & Refund Policy
Please read the following policy carefully before booking our treatments or purchasing a package or the Wellbody Reset Programme™.
At Wellbody, we value the time of both our clients and practitioners. Our Cancellation & Refund Policy is designed to support appointment availability, treatment continuity and the best possible experience for all clients.
Appointment Bookings
Appointments can be made online, by phone or directly with our team.
We encourage clients to schedule appointments in advance to secure their preferred time and practitioner.
As treatment outcomes are often influenced by consistency and continuity, we recommend attending appointments according to your personalised treatment plan wherever possible.
Rescheduling & Cancellations
We understand that plans can change.
If you need to reschedule or cancel an appointment, we kindly ask that you provide at least 48 hours' notice.
Appointments cancelled or rescheduled with more than 48 hours' notice may be moved to another available appointment time without penalty.
If Wellbody needs to reschedule or cancel an appointment due to unforeseen circumstances, we will provide as much notice as possible and work with the client to arrange an alternative appointment time.
Late Arrivals
We understand that unexpected delays can occur.
If you are running late, please contact our team as soon as possible.
Clients arriving more than 15 minutes after their scheduled appointment time may have their treatment time shortened, rescheduled or treated as a missed appointment where the remaining appointment time is insufficient to complete the treatment safely and effectively.
This decision will be made at the discretion of the Wellbody team.
Missed Appointments & No-Shows
Failure to attend a scheduled appointment without notice may impact appointment availability for other clients.
For prepaid packages or the Wellbody Reset Programme™, a missed appointment, no-show or cancellation within 48 hours will result in one treatment session being deducted from the package or Wellbody Reset Programme™.
For individual appointments, no cancellation fee currently applies. However, repeated late cancellations or missed appointments may affect future booking availability.
Wellbody Reset Programme™
The Wellbody Reset Programme™ is designed as a structured programme delivered over a recommended timeframe to support the best possible outcomes.
Before commencing the programme, clients should ensure they are able to commit the necessary time and attendance requirements.
Once commenced, interruptions, missed sessions or extended gaps between treatments may affect treatment continuity and overall results.
If circumstances arise that may impact participation, clients are encouraged to contact our team as early as possible so that appropriate options can be discussed.
Refunds
We encourage all clients to carefully consider their purchase before proceeding.
Refunds will not be provided for:
- Change of mind;
- Missed appointments or non-attendance;
- Failure to complete a package or the Wellbody Reset Programme™;
- Dissatisfaction where treatments have been provided as described and with appropriate care and professionalism;
- Outcomes that differ from personal expectations.
As individual results vary, Wellbody does not guarantee specific treatment outcomes, and refunds will not be provided solely on the basis that expected results have not been achieved.
Unused treatments, packages and the Wellbody Reset Programme™ are non-refundable unless otherwise required by law.
Changes in Health Circumstances
We understand that personal circumstances and health conditions may change.
If a client becomes pregnant, experiences a significant medical condition, undergoes surgery or encounters other circumstances that may affect their ability to continue treatment, we encourage them to contact our team as soon as possible.
Depending on the circumstances, Wellbody may offer:
- An extension of package validity;
- An extension of the Wellbody Reset Programme™ validity period;
- Alternative suitable treatments where appropriate;
- Wellbody Store Credit.
Each situation will be assessed individually to ensure a fair and appropriate outcome.
Supporting documentation may be requested where appropriate.
Store Credit
Where Store Credit is issued, it may be used towards eligible Wellbody treatments or products.
Store Credit is non-transferable, cannot be redeemed for cash and is valid for 12 months from the date of issue unless otherwise stated.
Wellbody is committed to providing a fair and transparent experience for all clients. Nothing in this Policy is intended to affect any rights available under applicable Australian consumer protection laws.
